Activity Exchange produces some Reports to help you keep track of Payments. Q. How does the Club keep track of the PayPal money? A. Activity Exchange will produce reports showing all the transactions. These can be Immediate for each transaction as soon as it happens and Daily, Weekly and Monthly. The Club also get a final summary report once the Activity has passed. These reports can be individually disabled to suit your clubs needs. Q. Who gets these Club Reports? A. They go to whoever is a member of the "Money" Admin Group in Activity Exchange. Q. How do the Activity Organiser(s) keep track of the PayPal money? A. Each time that a payment is made the Organiser(s) will get an immediate email telling them. This email will also list all the Bookings for the Activity and all the payments that have been made so far so that they can keep track. They also get a final summary report once the Activity has passed. Q. What about PayPal reports? A. Whoever is looking after the PayPal account, and anyone who has read-only access to the account, can pull off reports from PayPal detailing all payments made, in and out. Q. Do the Activity Exchange reports include all payments? A. As long as all payments are made via Activity Exchange then they will be complete. In this way you can compare the net amount that Activity Exchange says has been collected and compare that with the amount that is paid in each month. Q. How much should be paid into the main Bank account each month? A. All of it. The recommendation is that once a month, in the first few days of each month, whoever is looking after the account simply pays all of it into the main account. Since it is a collection account there is no need to keep any money in it. |
