Activities Backup Email - Frequently Asked Questions


  Activity Exchange sends out regular Activities Backup Emails.


Q. What is an Activities Backup Email?
A. Unless it has been turned off for your club, and subject to the Backup Threshold, Activity Exchange will send out an email which contains a Backup copy of all your Clubs Activities.

Q. What is the Backup Threshold?
A. Activity Exchange will not send you an Activitie Backup if you only have a few Activities. By default this threshold is set to 10 so you need to have at least 10 Activities before you get a Backup. This is to avoid sending titchy Backups which may be more of a nuisance than a help.

Q. How often is this done?
A. By default it happens Weekly, on Fridays. It can be set to happen Monthly on the first day of the Month or it can be turned off.

Q. What is the format of the email?
A. It is a plain text email with one attachment which an Excel Spreadsheet of your activities..

Q. What is the format of the Spreadsheet?
A. It is a Spreadsheet with a single sheet. The first row is column names and the subsequent rows are for each of your events. In detail it is the same format that can be used for Bulk Import. Detailed document here.

Q. Who is the email sent to?
A. It is sent to the Activities Email address or to the People who are in the Activities Admin Group. More on where Activity Exchange sends its emails here Advanced Email Handling

Q. How do I get this Enabled?
A. It is enabled by default. If it has been previously Disabled and you want it Enabled then someone with the Master AccessCode needs to Edit the Clubs settings and turn this feature on.

Q. How do I get this Changed from Weekly to Monthly or the other way round?
A. By default it is set to happen Monthly. If you want it changed then someone with Master Access needs to Edit the Clubs settings and change it.

Q. How do I change the Backup Threshold?
A. By default this is set to 5. If you want it changed then someone with Master Access needs to Edit the Clubs settings and change it.

Q. How do I get this Disabled?
A. If you want it Disabled then someone with Master Access needs to Edit the Clubs settings and turn this feature off.

Q. Where do I find these settings?
A. Go to your Clubs page on Activity Exchange and click on the "Edit Club" link and then the Options button.
