Activity Exchange offers free Email Groups. Q. What is an Email Group? A. An Email Group is a group of Email Addresses that have a single common Group Email Address. When you send an Email to the Group Address a copy of it will be sent to everyone in the Email Group. Q. What advantage does the Activity Exchange Email Groups have over commercial offerings? A. Very Simple. No Ads. The content of your emails is not interfered with in any way. Q. What Email Groups does my Club have? A. By default, all Clubs have a set of Admin Groups for various roles such as Activities and Membership. Each Club also starts out with one general purpose email group called "EmailGroup". Q. Do I have to keep the same Email Groups? A. You have to keep the Admin Groups as Activity Exchange uses these to send Admin emails of various types. You can prevent them from receiving email. You can modify or delete the general purpose Email Groups or add extra ones. Q. Is there a limit to how many general purpose Email Groups I can have? A. No. Q. How can I see or modify my Email Groups? A. By going to "Edit Club" off your Clubs Home Page or by going to "People" off your Home Page and in each case clicking on the "Groups" button. You will need the Master AccessCode. Q. How can I Join/Unjoin etc Individuals? A. Simply go to the Persons record on Activity Exchange where you can make whatever changes you want. Q. Can I make bulk changes? A. Yes you can. Simply go to the Groups admin page and there you can Join or Unjoin all Members or make bulk changes to whether otr not people are allowed to send to the group. 0Q. Who is told about changes? A. As is normal with Activity Exchange if a change is made to a Person Record then that Person is sent an email as is the club (to be exact Current Members Admin). In the case of a Bulk change, only those people whose record was changed will be informed and the Club will get one summary email. Q. What are my Email Group Addresses? A. It is based on your Clubs Name. If your Club is called My Club then the Group Email Address will be [mailbox].MyClub@ActivityExchange.com (as with all email addresses, upper and lower case do not matter). You can change your mailbox names to suit yourself. Q. Can I use my own Email Domain so I can have email addresses like activities@MyClub.org.uk? A. Yes you can. See here for more Your own Email Domain. Q. How do I define the Members of my Clubs Email Groups? A. By default, for a new club, the Admin Groups do not contain anyone and the one general purpose email group you have has everyone as a member. This means that you can send to all the members you've added as People. Q. What has happened to the old Admin Groups? A. These have been transferred to the new structure. If, for example, you had two People in the Activities Admin Group then they will have been transferred to the new Admin Email Group. Q. How are the new Admin Groups different to the old ones? A. In a number of ways. First of all these new Admin Groups can receive incoming emails. The previous ones were only for Activity Exchange to send emails out. Secondly you can customise the Mailbox name so you can have what email address you want. Third, you can set the Privacy Level and so control, broadly, who can send to these groups. You can block certain email addresses from sending to them. Finally it is easy to add new groups should they be needed in the future. Q. How are the new general Email Groups different to the old EmailGroup? A. In a number of ways. First of all you can have as many of these as you like. Secondly you can control who receives emails whereas before everyone got them. You can customise the Mailbox name so you can have what email address you want. You can set the Privacy Level and so control, broadly, who can send to these groups and finally you can block certain email addresses from sending to them. Q. Can I control who can send to these Email Groups? A. Yes you can in two ways. First of all you can set the Privacy to one of four levels. Public means anyone can send to it, Private means only members of the Club (people listed as a Person) can send, Closed means that only members of that Email Group can send to it and finally Disabled stops it from receivng any emails. The other control you have is that you can block individual People from using their email address to send to it. Q. What happens if someone tries to send and they are prevented by one of the restrictions? A. In this case they will get an automatic explanatory email. Q. Are there any restrictions on what emails can be sent? A. None at all. Activity Exchange simply copies and re-directs the email to the members of the Email Group. This means that emails can have attachments for instance. Q. Is my email address revealed? A. If you only ever receive emails then your email address will not be revealed. When you send an email to the Email Group the other members will get that email as being from your email address which will reveal it to them. This is normal for Internet Email. Q. How do I know my Email has got through? A. If you are a member of the Email Group you will also get a copy. This is your confirmation that is has been received and sent out. As with all Internet Email there is no guarantee that all the emails will be delivered and read by who they were sent to. Q. Will I get more Spam through the Email Group? A. You should not do. It is possible for anyone to send to a Public Email Group but this should not be a problem if you keep the email address off web sites. If you do start to get Spam you can make the group less open than Public or change the Mailbox name. Activity Exchange does have extensive anti-span precautions but no guarantees can be made. Q. How much does it cost? A. It is a free service. |
