Extra Person Fields - Frequently Asked Questions


  There are many extra Person fields that you can turn on and allow for your Club. You do this by going to "Edit Club" and then click the button "Choose Person Options".

For each of these fields you can choose to not show it at all, to only show it for Prospective Members, to only show it for Full Members or to always show it. The determination of who is a Full member depends on whether or not the Full Membership Start Date has been filled in.

These are the fields you can choose from.

Name Description
Prospective Membership Start Date The date this Person became a Prospective Member
Prospective Membership Status The Status of their Prospective Membership. In the month that they became a Prospective Member this will be set to "Just Joined". In their last month it will be set to "Last Month". In the months in between it will be set to "1st Month", "2nd Month" etc. After their Prospective Membership End Date it will be set to "Lapsed". Once a Person applies and their "Full Membership Application Date" is completed then their status becomes "Applied".
Ringer You can define a number of "Ringers" whose job it is to ring up Prospective Members and make sure they are OK and help them into the Club. This is where you set which Ringer has been allocated to this Person.
Age Ranges You can specify a set of Age Ranges and ask Prospective Members to say which Age Group they belong to. This allows you to analyse approximately what ages your Prospective Members are.
How they heard of Us Where this Member heard of your Club. Helps with tracking what advertising is working and which is not.
Date Full Application Received Date that this Persons Application for Full Membership was received.
Prospective Membership End Date This is normally set automatically according to the length of Prospective Membership set by the Club. Can be altered so you can extend a persons Prospective Membership.
Full Membership Start Date Date person given Full Membership of your Club
Membership Number If your Club allocates Membership Numbers you can record it here for this Person.
Class of Membership What Class of Membership this person has. Clubs can define their own Membership Classes.
Date of Birth Persons Date of Birth
Printed Bulletin Whether or not they get a Printed Bulletin.
Date of Next Renewal Date their Next Renewal is due.
Full Membership End Date Date their Full Membership came to an end.
Legal Name/Known As Some people do not use their Legal Name. For example "Michael Reilly" might be known as "Mick Reilly". "Alan John Wilson" might be known as "Jack Wilson". Enabling this option causes their Name data item to be called "Known As" and allows an extra data item called "Legal Name".
Gender Male, Female or unspecified
Address This enables up to five lines of address and a postcode.
Area Group Clubs can define a number of Area or Regional Groups. You can use this field to specify which one this Person belongs to.
Interests Free text field for Club and/or Person to say what they are interested in.
ICE (In Case of Emergency) This enables three "In Case of Emergency" fields (Name, Phone and Email).
Not a Member Sometimes you might have a Person record for someone who is not a Member. This field allows you to mark those Person records.
Mailbox Allows option to give a Person an individual Email Address. More here Email Addresses.
Title Mailbox Allows option to give a Person an official Email Address to go with their job in the Club. More here Email Addresses.
Show Fees Show a Fees Table for Joining (Prospective Members) or Renewing (Full Members). The data for these tables needs to have been defined for this Club.
