  Q. How can my club or organisation get added to the Activity Exchange?
A. Simply click on this link Add and you will be given full instructions.

Q. How can I add an event or activity?
A. Simply click on this link Add an Activity or click on the link which is Top Left on the Home Page, and follow the instructions. You do need to be a member of a club and to have that clubs permission to add events. To be exact you need their current Organisers AccessCode.

Q. How much does it cost?
A. It is FREE. No fees, no advertising no anything.

Q. Can anyone see details of my Activities?
A. It is up to you, you are in control. Normally events are put on as Private which means that the Date/Time, Title and Club running the event can be seen by anyone but everything else is hidden unless you Logon or have a Club AccessCode. If you want you can make an Activity Public which means that anyone can see everything about it. You might want to do this for some Activities like Club Nights so that potential new members can see more of what you do and understand how to come and join in. It is up to you what you enter for Public Activities and so up to you what will be visible. Activities which are Hidden cannot be seen at all until you Logon or a Club AccessCode is entered.

Q. How many Levels of AccessCode are they?
A. There are three levels of AccessCodes. The User AccessCode which allows a member of a club to see details of events. The Organiser AccessCode which allows for the same as the User AccessCode plus the ability to add and edit Activities. Finally there is the Master AccessCode which allows the same as the Organiser AccessCode except that any events can be modified and also allows the clubs basic information to be changed.

Q. How many Kinds of AccessCode are they?
A. There are two kinds of AccessCodes. The Group AccessCodes which are for sharing among some or all of the Members and the Personal AccessCodes which only belong to one Person. The advantage of Group AccessCodes is that they are easier to distribute as you can simply put them in your club Newsletter or Bulletin. Personal AccessCodes make people more accountable and do not normally need to be changed but you need to enter some details about each person into Activity Exchange. You will want Group AccessCodes to change regularly so that members that leave stop getting the same level of access.

Q. Who decides on the AccessCodes?
A. These will be generated by Activity Exchange. The Group AccessCodes and sent by email to the club, the club can distribute these as they want, perhaps by putting them into a monthly Bulletin or Newsletter if you have one. If you add your members Names & Emails to Activity Exchange then you can set them to get new AccessCodes as they are issued automatically. Group AccessCodes are normally valid up to the end of the month following the month that they are issued but they can be set to last for any length of time. Personal AccessCodes are made when a Persons details are added and they are not changed unless specifically requested.

Q. What is Logging On?
A. Instead of entering an AccessCode you can get access by Logging On using your email address and a password. This has the advantage of being personal to you and allows Activity Exchange to do more for you. For example, forms, such as Adding an Activity, can be partly completed woth information like your name. You can find out more here Individual Logons.

Q. Why have Access Codes and Logons?
A. Global AccessCodes are a great way of keeping your clubs private information private without you having to add and maintain a list of your members on Activity Exchange. With AccessCodes all you have to do is to make sure your members have the current AccessCode which you can easily distribute, perhaps in a monthly bulletin or newsletter. By default, AccessCodes expire monthly so that if someone leaves your club they automatically stop getting access to your clubs private information on Activity Exchange. Logons are a better solution if you are prepared to put your members onto Activity Exchange. It identifies an individual and the password does not have to be changed every month which can be a nuisance..

Q. How do I get my Logon Password?
A. If you have already been added to Activity Exchange by your club then all you have to do is to go to Forgotton Your Password? and enter your email address. As long as your email address is on Activity Exchange, you will get an email with your password. If your email address has not been verified you will instead get an email inviting you to verify it which is a simple step.

Q. What level of access do I get when I Logon?
A. This depends entirely on what has been set by your Club. If you go to "Your Profile" from your clubs Home Page on Activity Exchange you will be able to see what access you are allowed.

Q. Is there an Easy Way of adding tens of events at a time?
A. There certainly is. You can simply list the details of your Activities in an Excel Spreadsheet and then email them to a special email address. They will be automatically loaded and a few minutes later you will get an email reply. For more details please see Bulk Import.

Q. Is the Activity Exchange complete?
A. Not by a long way. The service is constantly being improved and added to. Here are some recent changes.
